This February we’ve introduced several powerful updates to help you work smarter, reduce manual input, and gain deeper insights into platform usage.

Here’s what’s new:

Personal Placeholders – Save frequently used data and eliminate repetitive input
Team-Level Insights – Filter statistics across all tabs for better tracking
Automated Image Cropping – Ensure replaced images fit perfectly
Disable Slide Warnings – Reduce unnecessary version alerts
Gatekeeper Role Renamed to Editor – A clearer, more intuitive role name

Let’s explore these updates in detail:

Save Time with Personal Placeholders

As part of customizing slides, presentations, and Word documents, end users often need to enter the same personal details repeatedly, such as name, email, or role.

With this update, users can now save personal placeholders, making downloads faster and ensuring content is automatically customized.

How Personal Placeholders Work

  • Managers enable this feature in Placeholder Settings by selecting a placeholder and toggling “Allow end users to save their data.”
  • Once enabled, users will see an option to save their input when downloading files.
  • If users save their details, the placeholders will automatically populate the next time they download a file—no need to re-enter the same information!
  • Users can also edit their saved placeholders anytime under their personal Profile Settings > Placeholder Data.

This update saves time and ensures slides are instantly personalized with accurate user details.

Gain Deeper Insights with Team-Level Statistics

We’ve made a major improvement to platform statistics—managers can now filter data by one or more teams across all tabs.

This update provides better visibility into team activity, helping managers track:

  • Asset usage – See which teams are using content most actively
  • User behavior – Understand how different teams engage with assets
  • Content gaps – Identify searches with no results to create missing resources for the specific teams

How to Use Team-Level Filtering

  1. Go to Statistics in Manage view
  2. Select the relevant tab based on the insights you need
  3. Choose the team(s) to filter—your selection carries across tabs for seamless navigation

Additional Update: We’ve also improved the consistency of statistics tabs and enhanced how Excel graphs are displayed in exported reports!

Maintain Layout Consistency with Automated Image Cropping

Replacing images just got easier - With automated cropping, the new image automatically resizes to match the original image’s size and positioning when using the "Replace Image" feature.

This update:

  • Saves time by removing the need for manual resizing
  • Ensures layouts remain consistent without disrupting formatting
  • Reduces errors in slide design

In rare cases, if the system isn’t sure what to focus on (especially with highly detailed images), adjustments may still be needed. But overall, this update makes image replacements much more efficient.

Eliminate Unnecessary Version Warnings

Some slides—such as inspiration-like slides—are frequently updated, which can lead to unnecessary version warnings that confuse users.

With this new update, managers can now disable version warnings for specific slides or entire presentations.

How to Disable Slide Warnings

  1. Go to Manage View and find the slide or presentation
  2. Click the cogwheel icon to access its settings
  3. Toggle on “Disable Version Warnings”

Once enabled:

  • Outdated slides will be marked as “linked” (instead of triggering a warning)
  • Deleted slides will appear as “unlinked"
  • End users won’t receive unnecessary version alerts but can still check for updates manually via the Library Version button

This update ensures a smoother workflow while keeping content accessible.

"Gatekeeper" Role Renamed to "Editor"

Based on ongoing feedback, we’ve renamed the "Gatekeeper" role to "Editor" to make it clearer and more intuitive.

The role’s permissions remain unchanged, but the new name better reflects what the role does.

Editor Role Permissions Recap

Editors can:

  • Add and manage company asset content
  • Review, approve, and reject suggestions

Editors cannot:

  • Add or modify member permissions
  • Change overall asset and account settings
  • Adjust inspiration slide settings

This is a naming update only—no changes to permissions.

What’s a Rich Text element?

The rich text element allows you to create and format headings, paragraphs, blockquotes, images, and video all in one place instead of having to add and format them individually. Just double-click and easily create content.

Static and dynamic content editing

A rich text element can be used with static or dynamic content. For static content, just drop it into any page and begin editing. For dynamic content, add a rich text field to any collection and then connect a rich text element to that field in the settings panel. Voila!

How to customize formatting for each rich text

Headings, paragraphs, blockquotes, figures, images, and figure captions can all be styled after a class is added to the rich text element using the "When inside of" nested selector system.
